Cleartrip (Air) Direct Connect
Section 1: IMPORTANT About this Guide
Be aware of the following:
Infinite variables: Certain scenarios have an infinite number of variables or
extremely unusual circumstances, like rare cancellation or refund situations.
So, not all scenarios can be presented in this guide. Also, certain processes
may be influenced by third- or fourth-party providers. In some cases, you
must contact the provider directly.
User interface, fees, rates, schedules: When other providers change their
user interface (for example, web site) or their fees/rates/schedules, they are
under no obligation to make SAP Concur aware of those changes. If a screen
sample in this guide is outdated because of a change made by a provider, we
will update that screen sample when we become aware of the change and at
our earliest convenience.
Permissions: A company's admin may or may not have the correct
permissions to manage the feature described in this guide. If an admin needs
to manage this feature and does not have the proper permissions, they
should contact the company's SAP Concur administrator.
Also, the admin should be aware that some of the tasks described in this
guide cannot be completed by the company. In this case, the client must
contact their TMC (if a TMC provides their support) or SAP Concur (if SAP
Concur provides their support).
Section 2: Overview
NOTE: Multiple SAP Concur product versions and UI themes are available, so this
content might contain images or procedures that do not precisely match your
implementation. For example, when SAP Fiori UI themes are implemented,
home page navigation is consolidated under the SAP Concur Home menu.
Concur Travel has partnered with Cleartrip, to provide access to low-cost carrier
content for the domestic India market place, many of which are not available
through the GDS.
More details concerning Cleartrip can be found at: www.cleartrip.com/.
NOTE: Supported carriers in Concur Travel via Cleartrip are Indigo, Spice, and Go
Air. The current integration supports only domestic, intra-India flight bookings,
although Cleartrip may support more airlines and international content outside SAP
Concur.
For information about India GST (Goods and Services Tax), refer to the GST-
Compliant Invoices section in this guide.

The user purchases the ticket, and the booking appears on the user's itinerary.
When a user completes a Cleartrip Direct Connect booking, they will see a Cleartrip
Trip ID (shown in the sample below) in addition to Ticket Number(s). The Cleartrip
Trip ID is important to identify the booking if contact is made with Cleartrip. This
reference may also be important for tracking purposes for GDS bookings.
Cleartrip Direct Connect ticket/confirmation numbers are returned per leg.
Form of Payment
All purchases for Cleartrip are managed through a Deposit Account established with
Cleartrip by the client's TMC partner. For mixed-content trips that include Cleartrip-
source fares and GDS fares, a different form of payment can be collected for the
GDS portion only.
NOTE: If there is not enough money in the Deposit Account at the time of purchase,
the user/arranger will receive an error message and the trip will not be processed.

Mixed-Content Bookings
If enabled, the user/arranger can create their own mixed-content itinerary,
containing Cleartrip content as well as GDS content in the same PNR. The
user/arranger will see results from both sources.
Section 4: Admin Experience
Cleartrip Deposit Account Emails
All payment is managed via the Deposit Account. The TMC partner is responsible for
managing funds in the deposit account; Cleartrip will manage funds in a mirror
virtual deposit account.

or
Part 2: Standard Edition Configuration in Concur Travel
Part 3: Professional and Standard Editions Additional Steps
For more information about configuring for India GST (Goods and Services
Tax), refer to the GST-Compliant Invoices section of this guide.
Part 1: Professional and Standard Editions TMC Setup
The following steps are required for the configuration of TMC credentials with
Cleartrip.
Step 1: Non-Disclosure Agreement (NDA)
The TMC and Cleartrip sign an NDA, subject to TMC's requirement. Then, Cleartrip
provides the TMC access to the URL link and shares the login details, including a
temporary password.
Step 2: Credentials
The TMC logs in to the Cleartrip platform, changes the password, and adds the
credentials for all LCC airlines in the Cleartrip platform.
The TMC shares the credentials name and the deal codes with Cleartrip.
Step 3: Mapping
Then, Cleartrip:
Shares the credentials with the client domain
Maps the deal code of the corporate fare to the login created for the TMC
Creates an API Key
Maps the deposit account and creates a virtual deposit account
Once the above steps are completed, Cleartrip will share the Cleartrip API Key and
Deposit Account ID with SAP Concur or the TMC Implementation team to configure it
in the Concur Travel configuration (as described below).
The following steps are required to support the process for incomplete trips
(orphaned or user-abandoned) that contain a Cleartrip reservation.
NOTE: For details on the auto-cancel logic and the process for incomplete trips, refer
to the Auto Cancel Fact Sheet.

Step 4: Open up Queue in GDS
Open up a queue in the GDS for the purpose of managing:
cancelled trips with a refund request, and
incomplete trips that contain a Cleartrip reservation.
Step 5: Set Up Refund Request Queue in Concur Travel
To set up a queue in Concur Travel:
1. Click Administration > Travel (on the sub-menu) > Travel System Admin
and access the desired agency configuration.
2. In the queue set section of the page, enter the data fields for Refund
Request Queue.
3. Click Save.
NOTE: Set up of a refund Request Queue is required for all TMCs servicing
customers in India that use Cleartrip. Otherwise the process for
incomplete trips containing a Cleartrip reservation cannot be supported
correctly. Such trips are queued to the refund request queue to
indicate that manual intervention is needed to reconcile charges on the
deposit account with invoices to the customer.
Part 2: Professional Edition Configuration in Concur Travel

Section 6: GST-Compliant Invoices
Overview
Airlines are GST (Goods and Services Tax) registered businesses in India and must
provide GST-complaint invoices to their clients for sale of services in the India
market. The invoice must contain the customer and taxpayer GSTIN (Goods and
Services Tax Identification Number) and billing address, and it must be sent to the
company's or entity's registered email address.
Concur Travel and Cleartrip support these types of GSTIN invoicing:
A single GSTIN per configuration: The same GSTIN is applied to all
Cleartrip bookings for Indian travel services booked in that configuration.
Multiple GSTINs per configuration based on Org Unit / Division:
Different GSTINs can be applied to Cleartrip transactions based on the Org
Unit / Division of the traveler.
NOTE: To support multiple GSTINs per configuration for Cleartrip bookings,
Org Units must be enabled. Refer to the configuration information
below.
In order for the airline to obtain the required information and issue the invoice,
Cleartrip collects and stores the GSTIN, billing address, and registered email address
of the client and matches them with the Org Units stored in Concur Travel. During
booking, Cleartrip obtains the Org Unit name from the traveler's SAP Concur profile
and forwards the associated GSTIN, billing address, and registered email address to
the airline.
16 Travel: Cleartrip (Air) Direct Connect Travel Service Guide

To do so:
Cleartrip attaches/passes the GSTIN number to the airline during ticket
issuance for booked travel along with the registered email address.
The airline generates the GSTIN invoice, which captures the GSTIN number,
and sends the invoice to the registered email address for handling by the
client and/or TMC.
Configuration for Professional and Standard Travel
Cleartrip obtains the Org Unit configured in the user's profile via an API connection to
Concur Travel. Establishing the Concur Profile API connection is a one-time process
managed by the SAP Concur Implementation team upon request from the TMC.
During implementation, after the customer grants SAP Concur the appropriate
authority to share private information with Cleartrip, SAP Concur or the TMC collects
the GSTINs associated with the Org Units from the client and provides them and the
company-specific Concur Profile API key to Cleartrip.

TMC's must submit this information to Cleartrip in an excel spreadsheet with the new
or changed GSTIN information. The spreadsheet should contain a separate column
for Department Name, gst_holder_address, gst_holder_name,
gst_holder_state_code, gst_holder_state_name, gst_number, Deposit ID, API Key.
When sending an email to Cleartrip with the new or changed GSTIN information, be
sure to clearly state in the email the old GSTIN information you need to change or
update. Cleartrip has advised it can take up to two weeks to make any changes.
Please do not reach out until at least one week after submitting GSTIN details for an
update. If making changes to GSTIN information, be sure to run a test to check if the
PNR’s have complete details of GSTIN so it can be reported back to Cleartrip right
away and resolve any issues.

Configuration for ORG Units Required for Multiple GSTINs
To support multiple GSTINs per configuration for Cleartrip bookings, Org Units must
be enabled. This allows Cleartrip to pass the invoicing data to the airline based on
the Org Unit assigned to the user.
PROFESSIONAL TRAVEL
For information about configuring Org Units, refer to the Company
Administration User Guide.
STANDARD TRAVEL
For information about configuring Org Units, refer to the Travel Setup Guide
For Concur Standard.
Section 7: Production Test Process
Cleartrip supports testing in a limited fashion.
The following steps are required for testing Cleartrip in production.
To test Cleartrip in production:
1. Follow the setup steps noted above. Cleartrip requires a real deposit account
between the TMC and the LCC to be in place.
2. Alert your TMC partner that you will be performing test reservation; they are
required to take prior waiver approval from the airlines.
3. Domestic Test Scenarios:
Limit to Go Air and IndiGo; SpiceJet does not support test bookings.
Use "Test Test" as the passenger name.
Travel dates must be at least three months out.
Choose a refundable fare.
4. International Test Scenarios:
Limit to IndiGo; the other airlines do not support test bookings.

Questions
Q. Which carriers are supported in Concur Travel for Cleartrip?
A. Supported carriers in Concur Travel via Cleartrip are Indigo, Spice, Go Air.
The current integration supports only domestic, intra-India flight bookings,
although Cleartrip may support more airlines and international content
outside Concur Travel.
Travel: Cleartrip (Air) Direct Connect Travel Service Guide 19
Last Revised: January 03, 2024

Q. The integration model changed recently. What is Concur Travel’s new integration
model with Cleartrip?
A. It includes:
TMC Credentials and not Cleartrip’s Credentials: In the new setup,
each TMC will use their specific credentials for each LCC supplier in
Cleartrip. For Concur Travel, we will simply be logging Cleartrip as the
content provider. Within Cleartrip, TMCs will be able to use Cleartrip’s API
to obtain content.
Payments: TMCs/Clients may continue to use their deposit accounts with
LCC suppliers to make bookings in the new model. In the old model,
TMCs/clients were required to maintain a deposit account with Cleartrip.
Select Access Service Fee: There is a newly applicable Select Access
Service Fee with the new model. No fee applied with the previous model.
Q. Why was a new model needed?
A. Based on client and TMC partner feedback, Concur Travel partnered with
these parties to establish a more effective model to support existing deposit
accounts.
Q. Why is Concur Travel partnering with Cleartrip?
A. Cleartrip provides relevant LCC content in the Indian market to clients and
TMC partners that can be enabled and booked in Concur Travel.
Q. What are some key things to note?
A. Note the following:
One Account ID will be set up in Concur Travel to identify Cleartrip
as the Distributor ID.
Clients will still have their current respective TMC as the agency of
record. They will, however, have to identify and authorize Cleartrip
to use its API to access content.
The TMC would maintain their deposit accounts with the respective
LCC suppliers and manage payments directly.
Clients will establish a deposit account directly with the TMC.
The TMC will utilize their existing deposit accounts with the
suppliers.
Airlines must allowlist the IP of Cleartrip. For TMCs that are not
already a partner of Concur Travel, a non-disclosure agreement
(NDA) between SAP Concur-Cleartrip and the TMC is required.
Q. What are the steps for signing up for this new model for a TMC?
A. All steps are available in the Configuration section of this guide.

Last Revised: January 03, 2024

Q. Will Cleartrip fulfill the process-related requirements on behalf of Concur Travel
